Questions about pricing, onboarding, and running events on Lapvio Pro.
How much does Lapvio cost?
Listing your events and getting found by drivers is free, always. Selling tickets on Lapvio is also free to start: connect Stripe, turn on checkout, and Lapvio takes a per-ticket platform fee (published on the pricing page) with the money going straight to your Stripe. Lapvio Pro adds the full platform (driver portal, briefings, waivers, CRM, financials, communications) as a monthly subscription, cancellable anytime, and drops the per-ticket fee to a preferential rate. There's no long-term contract: month-to-month.
Can I sell tickets for free?
Yes. Selling on Lapvio is free to start, you don't need a paid plan. Connect your Stripe account, turn on checkout for an event, and drivers can buy tickets and add-ons directly on Lapvio. Lapvio takes a per-ticket platform fee (published on the pricing page and on your billing settings), and the rest settles straight into your Stripe balance. Standard Stripe payment-processing fees apply on top, since the charge runs on your own Stripe account. Lapvio Pro lowers the platform fee to a preferential rate and unlocks the rest of the platform, but it isn't required to sell.
Are there setup fees?
No. Selling is free to set up. If you go Pro, the subscription includes onboarding support and your initial branding setup (logo, colors, email sender configuration), and you only pay the monthly subscription.
Do I have to use Stripe Connect for payments?
No. Lapvio works as a registration-and-event-management tool whether you process payments through Lapvio or not. If you'd rather keep selling tickets through your existing shop (WooCommerce, Shopify, your own checkout), Lapvio syncs orders via webhook and handles registration from there. If you do use Stripe Connect, payments flow directly to your Stripe account and Lapvio takes a platform fee on each transaction.
What's the platform fee on Stripe Connect transactions?
The current platform fee is published on your billing settings page and on the pricing page. If we ever change it, we'll give you sixty days' notice via email, with an option to opt out at the time of change. We don't change fees retroactively.
Are there payment-processing fees on top of the platform fee?
Yes. Lapvio's checkout runs as a direct charge on your own connected Stripe account, so Stripe's standard payment-processing fees apply to each transaction, the same as any Stripe payment you'd take yourself. That's separate from Lapvio's per-ticket platform fee. Both are transparent: Stripe's fees appear in your Stripe dashboard, and Lapvio's fee is on your billing settings page and the pricing page.
What happens if I want to cancel?
Cancel anytime from your billing settings. Your subscription runs until the end of the current billing month, and your portal stays live for that period. After cancellation, you have thirty days to export your data (driver records, event history, financial records) in JSON or CSV. After thirty days, the data is archived and eventually deleted per our retention policy. Driver-side history on Lapvio profiles stays. It belongs to the drivers, not to your organization's record.
How long does onboarding take?
A typical organizer is running their first event on Lapvio Pro within two to three weeks of signing up. The bulk of the time is in customization (branding, briefing modules, email templates) and importing existing driver data. We provide a written onboarding guide, video walkthroughs, and a dedicated Q&A session before your first event.
Can you migrate my existing driver data?
We can import driver lists (name, email, phone, language) from a CSV. Driver tags and notes can also be imported if structured. We don't migrate full historical event data from other systems. Your verified history on Lapvio starts when you start with us. Drivers can manually log past trackdays from your previous events on their own Lapvio profiles, but those entries won't carry the verified badge.
Do you provide training?
Yes. The standard onboarding includes:
- Written documentation covering every part of the admin portal
- Short video walkthroughs of the main workflows
- A scheduled Q&A session with us before your first event
- Email support throughout your first event weekend
After the first event, ongoing support is via email. Most questions are answered within one business day; urgent issues during weekends are handled best-effort.
What languages does the driver portal support?
Czech, English, and German. Drivers select their preferred language during registration, and every email, page, and form is delivered in that language. We're adding more languages as the community grows. If you operate primarily in a language we don't yet support, contact us. We prioritize based on demand.
Can I use my own domain?
Standard plans run your portal at [your-org].lapvio.com. Higher-tier plans support a custom domain (portal.your-org.com) with managed DNS configuration. Custom domains include a managed SSL certificate.
Can I customize the driver portal branding?
Yes. You configure your logo, primary color, and email sender name once, and the branding propagates through the entire driver experience: the registration portal, every transactional email, the briefing flow, and the waiver signing experience. Drivers see your brand throughout, with a small "powered by Lapvio" attribution in the footer.
What integrations do you support?
For payments and ticketing: WooCommerce, Shopify, Stripe Checkout, and a generic webhook adapter for any custom shop or backend. For waivers: DocuSeal. For email: Postmark (managed by us). For accounting and reporting: data export to JSON or CSV, anytime, from the admin portal. Need something else? Tell us. We add integrations based on organizer demand.
Will my drivers see other organizers' events?
On the public Lapvio site (lapvio.com), drivers can browse upcoming events from any organizer that has opted into public listing. This is the discovery layer. On your portal ([your-org].lapvio.com), drivers only see your events, your branding, your communications. We don't market other organizers' events to your drivers from your portal.
Do you sell my driver data?
No. We don't sell your driver data, ever. This is contractual: the Data Processing Agreement you sign as part of using Lapvio Pro explicitly forbids it. We don't share driver data between organizers, we don't use it for advertising, and we don't pass it to third parties beyond the technical sub-processors (hosting, email delivery) listed in the DPA.
What happens to my data if I leave?
You have thirty days from cancellation to export everything via the admin portal: driver records, event history, financial summaries, signed waivers (PDFs), and configuration settings. Export formats are JSON and CSV. After thirty days, your data is archived, then deleted per our retention policy. Driver-side history that lives on driver Lapvio profiles stays with the drivers. That's their data, not yours.
Can I run private or corporate events without listing them publicly?
Yes. Public listing is opt-in per event, off by default. Private events appear only to registered drivers via their personal link. Corporate events, invite-only events, and members-only events all work the same way. You can run a fully private operation on Lapvio Pro if that's your model.
What if Lapvio goes down on a trackday morning?
Honest answer: we operate at high availability but we're not a global hyperscaler with five-nines uptime. If something breaks during a trackday, contact us by email immediately and we'll respond as fast as we can. Weekend response for active organizer issues is treated as priority. We recommend exporting your check-in roster as a PDF the day before each event as an offline backup; this is built into the admin portal.
Can I export my driver list at any time?
Yes. From the admin portal, you can export your full driver list (with their consent-tracking metadata, tags, and event history) as JSON or CSV at any time. This is your data. We make it portable by design, not as a feature you have to negotiate.
